Head of Business Operations

About the Opportunity
CollegeSpring is seeking a dynamic Head of Business Operations to help the CEO and Leadership Team maximize their leadership capacity and effectiveness in driving and managing strategic growth. In this newly created position, the Head of Business Operations will report to the CEO and play a key role as a member of the national Leadership Team. This individual will operationalize organizational priorities and build systems that will impact the entire organization and its trajectory for years to come.

This role requires someone who is first and foremost committed to our mission of supporting underrepresented students in their preparation to obtain a college degree. They must be a highly resourceful and collaborative individual with strong strategic thinking and analytical skills. They will approach each project with a cross-functional mindset, and can deftly manage myriad relationships inside and outside the organization.

Responsibilities
Performance and Project Management
● Support CEO to ensure CollegeSpring is executing on its strategic plan, and that strategic vision and goals connect to annual operating plans, key initiatives, and budgets
● Lead the annual and multi-year goal setting processes for CollegeSpring, and ensure that organizational goals cascade to team and individual performance goals
● Create and implement systems for evaluating performance against organizational goals, systematically improving and updating organizational dashboards to evaluate organizational, team, and individual performance
● Oversee large, often cross-functional, organization-wide projects or initiatives, while bringing together important stakeholders and helping drive decisions that align with the strategic plan
● Propose the creation of new systems and processes to streamline operations and drive efficiencies throughout the organization
Organizational Culture and Systems
Work with CEO and Leadership Team to further develop and steward CollegeSpring’s organizational culture and values in the following key domains:
Strategic Communications
● Codify and streamline protocol and processes for communicating information to internal and external stakeholders
● Develop a system to ensure and complete a consistent feedback loop between the CEO, Leadership Team, and all stakeholders
● Create and manage systems for internal communications to build and sustain staff culture, achieve organizational awareness of institutional priorities, and improve feedback mechanism in service of continuous learning and improvement
Talent & Equity
● Create, update, and steward key systems and processes related to talent acquisition, management, and development, with the goal of ensuring diversity, equity and inclusion is integrated into organizational culture and values; this includes:
o Recruiting, hiring, and on-boarding o Performance management o Compensation o Training and professional development o Talent reviews
● Design and implement highest quality professional development series for CollegeSpring
Committee and Meeting Oversight
● Play lead role in planning and preparing for key organizational meetings, including National Board meetings, Leadership Team meetings, all-staff meetings and all-staff retreats
● Create vision for success of CollegeSpring task forces, committees, and cross- functional working groups
● Prepare CEO for upcoming meetings by ensuring she has all the information necessary to be productive and engaged
Operations & Administration
Finance
● Serve as primary financial advisor to CEO and Board of Directors, keeping both apprised of organizational financial health and performance, and any major financial developments; serve as liaison to Board Finance/Audit committee
● Oversee the ongoing financial health of CollegeSpring, ensuring that it meets financial targets, builds operating reserve, has clean audits, and operates in compliance with all relevant financial rules and regulations
● Manage all relationships with bookkeepers, accounting, and audit firms, overseeing preparation of annual audit and ongoing financial reports for CEO and Board
● Lead annual budgeting and budget management process, partnering with team leads and site Executive Directors to develop department and site budgets
● Ensure strong financial grant management for CollegeSpring and its sites
● Conduct financial modeling as needed to support strategic planning, decision- making, and fundraising campaigns
Technology/Facilities
● Ensure that technology systems are operating effectively across the organization, and make recommendations for investments in technologies and systems that will help CollegeSpring carry out its work more efficiently
● Oversee smooth and safe operation of CollegeSpring facilities, manage relationships with CollegeSpring’s lessors, and negotiate all office leases as necessary
● Work in partnership with legal counsel to manage and minimize risk for CollegeSpring

Required Experience and Qualifications
● Operates with excellence in mind in all matters, with the confidence to defend/debate ideas without ego interfering
● Demonstrated ability to build and maintain relationships with a wide array of people – across levels of seniority, various sectors and diverse backgrounds
● Detailed-oriented with a high degree of integrity, discretion and trustworthiness
● Highly-developed communications skills (written/verbal) and interpersonal skills are a must
● Keen ability to stay connected to the heartbeat of the organization and provide insight into opportunities and issues that impact CollegeSpring’s success
● Ability to scope, plan, and execute multiple projects with tight timelines and minimal guidance
● Ability to research, perform benchmarking, analyze data, and make recommendations
● Committed to continuous learning and development for self and organization
● At least 5-7 years executive level experience
● At least 5-7 years of experience in financial operations, budgeting, forecasting, and planning
● Fluency in Microsoft Office suite and data management systems
● Bachelors Degree required; MBA preferred
